
REGISTRATION TERMS AND CONDITIONS
The dates for the event are March 16-18, 2023. The event will be held in Freeport, Bahamas. The event
will be conducted under NCAA rules and guidelines and will have NCAA officials for each day.
SECTION 1: Host Commitment
The Host responsibility includes:

Setting a rate for Three (3) nights accommodations (double occupancy) at an All-Inclusive resort.

Meals: Breakfast, lunch, and dinner included each day.

A practice time for each full day at the Event.

Team meeting space and times at hotel.
-
Ground transportation to and from the airport, hotel, practice and meet.
SECTION 2: University Commitment
The University responsibilities includes but is not limited to:

Pay a $750 nonrefundable commitment fee.

Pay a fee of $799 per person to attend the event [Minimum Party of 30]. This fee includes;

The participant fee, Event shirt, entry band & transportation.

Rooms (double occupancy) and meals for 3 nights at all-inclusive hotel at the pre-negotiated set rate.

Must purchase Airfare for traveling party and all accompanying charges including baggage fee.

Meet any COVID requirements.
Note: Passports are required for entrance into The Bahamas. Non-US citizens will also need to get the
required visas to re-enter the United States.
SECTION 3: Important Dates
The agreed key dates for the agreement are as follows:

June 11, 2022 – Pay $750 nonrefundable commitment fee.

July 29, 2022 - Deadline to return signed contract + $5,000 nonrefundable deposit.

October 21, 2022 – Outstanding payment due.

December 15, 2022 – Submit all team information and Final Travel Party roster.
SECTION 4: ADDITIONAL TERMS

Private, customizable team meals (breakfast, lunch, and dinner) can be added based on theadditional pricing structure.

HOST will have the sole responsibility to organize the event. HOST does not guarantee theparticipation of any other University.

All radio and television rights and income derived therefrom are owned by Joyce Johnson Enterprises. All other rights, except as expressly provided in this Agreement, including but not limited to, ticketing, sponsorship, signage, promotions, marketing, television, radio, print,internet, programs, and all other media and advertising are retained by HOST, and HOST shall have the sole right to the negotiation, implementation, production, and exploitation of these rights and to all revenues arising from such rights. Joyce Johnson Enterprises can assign these rights to another entity at its discretion per written request.

Solely in connection with the Event (including the promotion thereof) The University grants HOST the unrestricted right and license to use University’s name, nickname, mascot name and image, logo, graphics, and all recognizable trademarks or references to University.

University will obtain insurance that will cover all participants and staff during the Event:

Medical insurance, basic and catastrophic injury coverage.

Comprehensive general liability for bodily injury and property damage.
Neither party to this agreement shall be responsible for personal injury or other loss except that resulting
from its own negligence and/or willful misconduct or the negligence and/or the willful misconduct of those
acting within its control, and each shall hold the other harmless from all liability to their persons for such
negligence and/or willful misconduct of such persons.
Note: Payments by check must be made payable to “Joyce Johnson Enterprises” or by ACH bank
transfer.
SECTION 5: CANCELLATIONS
Due to financial commitments of Host to hotels and other vendors no refunds will be issued after
December 15th , 2022. Cancellation must be received in writing by December 5 th , 2022 allowing 10 days
for processing.
After October 21st , 2022, if the University should choose to cancel its participation in the Event, the
University will lose their $5,000 deposit and pay HOST an additional $5,000 with payment. Therefore,
your refund will be less $10,750; the registration fee, deposit, and additional $5000 penalty.
No refund will be issued for no-shows. The contract becomes null and void if HOST fails to fill the Event
field or fails to fulfill the responsibilities stated in this contract. In this event, HOST will refund University all
payments made.
If the event is canceled due to a natural event and the Event is unable to take place, University will have
the option to participate in a rescheduled event or receive a refund less $5,000 deposit and $750
commitment fee.
SECTION 6: NOTICES
All notices and other communications in connection with the Agreement shall be in writing and shall be
deemed given if delivered personally, sent via email (with confirmation), mailed by registered or certified
mail (return receipt requested) or delivered by an express courier (with confirmation).
These terms and agreements and respective form is an official agreement. All the terms and conditions of the proposed participation are stated and agreed upon by both parties.
